What a COA Actually Is

A Certificate of Analysis is a lot-specific document: it states what was tested, by what method, and what result was measured for this particular batch of material. That last part is the point. A COA is not a product brochure, not a specification sheet, and not a marketing document. If the document in your inbox doesn't reference a lot number, you are looking at a template — not evidence.

In twenty years of ingredient trade, we have seen COAs that were beautifully formatted and scientifically empty, and plain one-pagers that documented genuinely rigorous work. Learning to tell them apart is a core procurement skill.

The Non-Negotiables

Every credible COA should show: product name and botanical (Latin) name; lot or batch number; manufacturing or testing date; the test items with results, units, and the methods used; the specification limits each result is compared against; and a signature or stamp from the issuing lab, with the lab identified.

Missing any of these? Ask. A supplier who cannot produce a lot-numbered COA is telling you something important about their quality system.

Which Tests Matter

For essential oils: the core document is the GC-MS chromatogram and composition table — the percentages of major constituents (e.g., diallyl disulfide in garlic oil, cinnamaldehyde in cassia oil). Density, refractive index, and optical rotation are classic adulteration screens. A COA listing only "appearance: conforms" and "odor: characteristic" tells you almost nothing.

For botanical extracts: assay of the active marker compound by HPLC (curcumin 95%, ginsenosides 80%) is the headline number. Behind it, look for heavy metals (Pb, As, Cd, Hg), pesticide residues, microbiological limits (total plate count, yeast & mold, E. coli, Salmonella), and solvent residues where solvent extraction is used.

Red Flags That Deserve a Phone Call

Results that exactly equal the specification. A curcumin assay reported as "95.00%" against a "≥95%" spec, lot after lot, is a statistical miracle — or a copy-paste. Real analytical results vary: 96.2%, 95.7%, 97.1%.

No methods listed. "Assay: 98%" means nothing without knowing whether it was HPLC, UV, or titration. UV methods for curcumin, for example, notoriously over-read versus HPLC.

The COA predates the lot. Test dates must logically follow production dates. It sounds obvious; it fails more often than you'd expect.

Generic letterhead. A COA issued by an unidentified "QC Department" with no lab name, address, or accreditation is weaker evidence than one from a named, ideally ISO 17025-accredited, laboratory.

Verify Before You Trust

For a new supplier or a critical material, commission an independent third-party test on the first commercial lot — SGS, Intertek, Eurofins, or a qualified local lab. Compare against the supplier's COA. Agreement builds warranted confidence; systematic divergence tells you to renegotiate or walk.

Finally, keep the COAs. Batch traceability — matching every incoming lot to its document, and every document to your finished batches — is what turns a quality incident from an existential crisis into a manageable recall of one lot, not a year of production.

The Bottom Line

A COA is a supplier's quality system rendered on one page. Read the lot number first, the methods second, and the results third. When documentation discipline is visible in the paperwork, it is usually present in the product.
